Engagement and Rewards

 

Objective

To introduce formality into the engagement of volunteers and consistency into the award of PDUs for PMI UK volunteers as well as promoting volunteer rewards.

Scope

This policy applies to all volunteers within PMI UK e.g. Board of Directors, Regional Committees, IPM Day Committee, Special projects volunteers (e.g. Newsletter, Website, Balanced Scorecard, Project Challenge stand staff) etc.  Please note that all active volunteers are required to be UK Chapter Members and those who are non PMP certified must sign the PMI UK Chapter Code of Conduct.

Volunteer Engagement

PMI UK relies on volunteers to carry out many of its activities including Board roles, Regional Committees and Special Projects.  New volunteer opportunities arise in support of the Chapter’s goals and require a project sponsor to complete a Volunteer Opportunity Form. The form is submitted to the Director of Volunteer Co-ordination in order to source suitable volunteer(s).  The Director of Volunteer Co-ordination requests that prospective new volunteers complete a Volunteer Profile form. The details of the profile are recorded in a database.  The Director of Volunteer Co-ordination acts as a conduit to match suitable volunteers to the opportunities and will work with the sponsor through the selection process.

Volunteer rewards

PDUs:
Professional development units (PDUs) are available for volunteer roles that include an element of professional development.

The Director of Volunteer Co-ordination monitors volunteer activities (at all levels) in terms of activities and time / effort – with input from Board, Committee Chairs (Regional & IPM Day). At year end (December) the Director of Volunteer Co-ordination will prepare annual PDU recommendations to the Board for agreement. The Director of Volunteer Co-ordination will then issue annual PDU award certificates to all eligible volunteers. Note – this process facilitates visibility of potential candidates for Volunteer of the Year.

Volunteers claim their awarded PDUs online at www.pmi.org using the Continuing Certification Requirements System (CCRS) tool under Category 5.  PMI UK will refer to PMI guidelines when awarding PDUs. The Continuing Certification Requirements (CCR) Program Handbook states the following:

"Category 5: Volunteer Service to Professional or Community Organizations

A maximum of 20 PDUs for PMP and PgMP (10 PDUs for PMI-SP and PMI-RMP) may be earned per CCR cycle through professional service to a project management organization or by providing noncompensated project management services to non-employer or non-client customer groups. The volunteer services must meet the definition of a project as outlined in A Guide to the Project Management Body of Knowledge (PMBOK® Guide).

Examples of qualifying activities and their associated PDU values include the following:

Cat 5A - Serve as an elected officer for a project management organization (including PMI components).

  • Minimum three months of participation: 2 PDUs per year (No PDUs are awarded for service less than three months)
  • Minimum six months of participation: 5 PDUs per year
  • Twelve months of participation: 10 PDUs per year

Cat 5B - Serve as a volunteer/appointed committee member for a project management organization (including PMI components).

  • Minimum three months of participation: 1 PDU per year (No PDUs are awarded for service less than three months)
  • Minimum six months of participation: 3 PDUs per year
  • Twelve months of participation: 5 PDUs per year

Cat 5C - Provide project and/or program management-related services to a community or charitable group or to a group of college students for educational purposes (5 PDUs per year).

  • The sponsoring organization must be a legally recognized not-for-profit organization.

Documentation required upon PMI audit/request: letter or certificate from the organization served acknowledging you for leading project tasks or participating as part of a project team.”

PDUs for other volunteer activities that fall outside of the guidelines stated above will be awarded at the discretion of the Board of Directors with guidance from PMI Global Operations Centre (GOC).

PMI UK Volunteer of the Year Award

A “Volunteer of the Year Award” has been introduced in an attempt to increase the take up of voluntary service by PMI UK Chapter members and to reward the effort put into voluntary work.

This award will be given in recognition of outstanding voluntary effort in support of the PMI UK Chapter, whether it be in support of regional events by serving on a Regional Programmes Committee, organising events, IPM Day organising committee membership, IPM Day support or any other voluntary effort in support of the PMI UK objectives and operations.

Nominations will be open to all members of the UK chapter and a PMI member of good standing, with the exception of any member of the Board of Directors, who will form the Award Committee. Nominations are made by completing a Nomination Form and will require a Proposer and a Seconder, both of whom must be UK Chapter members.

Nominations will be requested from all Regional Committee Chairs and Board Members and a winner will be selected during the last Board meeting prior to the Annual General Meeting.

Selection will be subjective but, should take into account the level of effort put into the role by the member, the quality of the contribution and the positive outcome of the contribution. Selection criteria includes:

  • Exceeded expectations for given volunteer role
  • Provided significant time commitment leading to significant project results
  • Innovative – new ideas
  • Measurable commitment to PMI UK activities
  • Performance compared with peers
  • Leadership skills
  • Team player

The PMI UK Volunteer of the Year award will be announced at the following AGM. The award will comprise of an all expenses paid trip for the volunteer to the next PMI EMEA Leadership Institute Meeting (note: there will not be a cash equivalent available). An annual trophy will also be presented to the recipient by the President at the AGM. Full publicity will be given to the award and winners in all PMI UK publications e.g. newsletters.

Volunteer of the Year Award - EMEA Region

PMI UK has the opportunity to nominate a candidate for the Volunteer of the Year Award – EMEA Region. This award recognises the dedicated volunteers in the EMEA region. The application must demonstrate the nominee’s leadership and initiative and that the acts were significant in nature and perceived as bringing recognition to the chapter and to the institute as the world’s leader in Project Management.

The winner receives the award from the PMI CEO at the annual EMEA Leadership Institute Meeting.
